Functional Requirements for E-mail Manager
1. Distribution
Lists (groups) - There are two types of distribution lists,
static and dynamic (autoresponders).
Static lists stay the same until a new record is added, or taken
out, by the user or by the request of a un-subscribe from an
email recipient. A dynamic distribution list is built on-the-fly
from the distributor table based upon parameters set up by the
user. The following functions apply to both types of list:
- Allow the user to set the system to automatically "unsubscribe" a
record from the distribution list if the email bounces.
- Allow an email recipient to unsubscribe from a distribution
list by simply clicking a link in the email.
- Allow email recipient to be in multiple distribution lists
- Allow the user to merge two or more distribution lists
- Allow the system to import and store a distribution list
that is not a part of the distributor table. This will allow
the user to do email campaigns to a list of prospects that
are not in the distributor table. Allow the user to manually
add a user/profile to the distribution list (name, email address,
phone, etc.).
2. Send
Log - Display a send log that shows the date that a group
email was sent, with total subscribers, total sent, percent received,
etc. in columns. See table below.

- HTLM and Text based email - mime formatted emails to
handle non-html browsers.
- Editor allows Source, Design, and Preview Modes
- Allows the user to easily pull images into the email from
their shopping cart images folder
- Allows the user to open an existing html document into the
email editor
- Allow the email to be AOL friendly
- Data Fields - Editor allows you to easily insert any
field from the Distributor, Order, Order Lines, and Bonus tables
for both text and HTML emails.
- Flexible Query Tool - used to create a distribution
list.
- Static Lists - Allow the user to create a static
distribution list based upon the following queries:
i. Search
by specific distributor ID or range of distributor IDs
ii. Search
by specific downline (returns all records
in distributor's downline)
iii. Search
by distributor by depth (returns all records in a sponsor's downline to
a specific depth)
iv. Search
by distributor's personally enrolled (returns a sponsor's personally
enrolled)
v. Search
by Active Date (the date they were entered into the system)
vi. Search
by Rank or group of Ranks
vii. Search
by PV by specific bonus date range, or current PV
viii. Search
by GV by specific bonus date range, or current GV
ix. Search
by inventory item, or range of item codes, by order date range,
by status (entered, posted, shipped, and dates)
x. Search
by Autoship date (returns all autoship records
scheduled for a specific day of the month)
xi. Search
by First Authoship date, Last Autoship date,
or Final Autoship date
xii. Search
by commissions paid range, by bonus date range
xiii. Search
by Notes code, by date or date range (i.e., NSF - this is the code
for non-sufficient funds in the Notes tab of the distributor manager)
- Dynamic Lists - These lists use the same queries
as static, but they are automatically ran by the system on
a scheduled basis.
- E-mail scheduling tool - allows you to schedule the
delivery of saved email content (text and/or html) to be
delivered to a specific distribution list (static or dynamic).
- Delivery Schedule - The user can set up an email to be
delivered for a specific number of days (or until a specific
date), or
ongoing, beginning on a specific date/time (server
time).
- Campaign Manager - The user can set up email content to
be delivered in sequence to a specific distribution list
(static
or dynamic). For example, the user may want to send
out 5 different emails in sequence to all new distributors.
This
tool should
allow the user to:
i. Create
content groups - This allows the user to assemble a list of email
content files and set up their sequence of delivery.
ii. Create
delivery groups - This allows the user to select the distribution
list for the campaign.
iii. Delivery
Schedule - The user can set up a Campaign to begin and/or end on
a certain day or after a number of sequences have been completed.
